The Grove Collective ("we," "us," or "our") provides bespoke educational consulting services to students and families. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using our website or client portal, you agree to the practices described here.
2. Information we collect
- Account information — name, email, role (student or parent), and password credentials handled by our authentication provider.
- Program information — milestones, notes, documents, essays, school lists, and consultation history you upload or create in the portal.
- Communications — inquiries submitted through our contact form and correspondence with your counselor.
- Technical data — device, browser, and log data collected for security and reliability.
3. How we use information
- Deliver, personalize, and improve our consulting services.
- Match students with counselors and coordinate consultations.
- Provide AI-assisted essay feedback, school-fit scoring, and interview preparation you initiate in the portal.
- Communicate about your program, scheduling, and account activity.
- Protect the security and integrity of our platform.
4. AI processing
When you submit essays, profile details, or interview questions to our AI tools, the content is sent to trusted model providers solely to generate the response you requested. We do not use your content to train third-party foundation models. Do not include information you are not comfortable sharing for the purpose of generating feedback.
5. Sharing
We share information only with (a) your assigned counselor and Grove administrators, (b) service providers who host our infrastructure, authentication, storage, and AI processing under contractual protections, and (c) authorities when required by law. We do not sell personal information.
6. Storage and security
Data is stored with industry-standard encryption in transit and at rest. Documents you upload are held in a private storage bucket accessible only to you, your counselor, and Grove administrators. No system is perfectly secure; please use a strong, unique password and notify us immediately if you suspect unauthorized access.
7. Retention
We retain program information for the duration of your engagement and for a reasonable period afterward to support alumni services, dispute resolution, and legal obligations. You may request deletion of your account and associated content at any time.
8. Your choices
- Access, correct, or export the information in your portal.
- Request deletion of your account by contacting us.
- Opt out of non-essential communications at any time.
9. Students under 18
Many of our clients are minors. We require a parent or guardian to provide consent and remain involved in the engagement. Parents may request access to their student's records by contacting their assigned counselor.
10. Changes
We may update this policy from time to time. Material changes will be communicated through the portal or by email. Continued use after an update constitutes acceptance of the revised policy.
